Who is responsible for your data?

Sailing Sønderborg is operated by ProDNA ApS (CVR 41889020), Ellegårdvej 36, 6400 Sønderborg, Denmark. ProDNA ApS is the data controller for the personal data processed on this website and in connection with your enquiries and bookings.

What data do we process, and why?

When you contact us by email or phone: we process your name, contact details and the content of your message so that we can reply. The legal basis is our legitimate interest in answering enquiries and, where your message concerns an agreement, taking steps to prepare one with you (GDPR Article 6(1)(f) and (b)).

When you use the price calculator and book: the calculator is embedded on the Contact page and runs on Google Apps Script. It calculates a price from what you choose (trip, number of guests and days). When you continue to booking, you enter your details directly with Calendly, which is our data processor. We receive your name, email, the chosen time and any information you write in the booking. The purpose is to complete your booking. The legal basis is that the processing is necessary to enter into and perform an agreement with you (Article 6(1)(b)).

When you visit the website: the server records IP address, time and the page requested in a technical log. It is used for troubleshooting, operation and security (Article 6(1)(f)). We do not use analytics tools or tracking.

Cookies

We use no cookies for statistics, analytics or marketing. The website only stores one technical cookie (NEXT_LOCALE) that remembers the language you chose, for up to one year. It is necessary for the language selection and does not require consent.

The price calculator is provided by Google. When it loads, Google may receive your IP address and set its own cookies. When you continue to booking, Calendly is loaded, which may also set its own cookies. See the two services' own privacy policies for details.

Who do we share data with?

We do not sell your data and do not pass it to third parties for their own purposes. We use these data processors, who process data on our behalf and on our instructions: Calendly (USA) for booking, Google (Google Apps Script for the price calculator and Google Workspace, Google Ireland Ltd., EU, for email) and Hetzner (Germany, EU) for hosting the website.

If data is transferred to countries outside the EU/EEA, it only happens on a valid transfer basis, such as the European Commission's standard contractual clauses or the EU-U.S. Data Privacy Framework.

The site contains links to Google Maps and YouTube. When you click them you leave our website, and those services' own privacy policies apply.

How long do we keep the data?

Enquiries by email or phone are deleted no later than 12 months after the enquiry is closed, unless it leads to a customer relationship. Bookings are kept at Calendly under their rules and deleted on our side once the trip has taken place and any follow-up is finished. Data that forms part of our accounts is kept for the period required by the Danish Bookkeeping Act (currently five years). Technical server logs are deleted automatically after 30 days.

Your rights

You have the right to access the data we hold about you and to have it corrected or deleted. You can also ask us to restrict the processing, object to it, and receive your data in a common format. If you have given consent, you can withdraw it at any time.

Changes

We update this policy if the way we process data changes. The current version is always on this page.
